By accessing and using US Records ("Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our Service.
US Records is a private service that assists individuals in ordering vital records from government agencies. We are not a government agency and do not issue vital records directly. All certificates are issued by the relevant government authorities.
You must be at least 18 years old and legally authorized to order the vital records you are ordering. By using our Service, you represent and warrant that you meet these requirements.
Charges appear on your card statement as US RECORDS. Depending on your order, the service fee, the government agency fee, and any optional shipping or online notarization fee may appear as separate line items or as a single combined charge.
To complete an order we rely on third parties acting on our behalf, including our payment gateway, our online notarization and identity-verification partner, shipping and courier carriers, and email delivery providers. Information is shared with these providers only as needed to fulfill your order.
Processing times vary by state and record type. We do not guarantee specific delivery dates. Times provided are estimates based on typical government processing speeds.
You agree to:
All content, trademarks, and intellectual property on US Records are owned by us or our licensors. You may not copy, reproduce, or distribute our content without permission.
To the fullest extent permitted by law, US Records shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our Service. Our total liability shall not exceed the amount you paid for the specific service in question.
The Service is provided "as is" without warranties of any kind. We do not control government processing times or guarantee that orders will be approved by government agencies.
You agree to indemnify and hold US Records harmless from any claims, damages, or expenses arising from your use of the Service or violation of these Terms.
These Terms are governed by the laws of the State of Delaware, without regard to conflict of law principles. Any disputes shall be resolved in the state or federal courts located in Delaware, except that either party may bring an individual claim in small claims court.
We may refuse, suspend, or cancel any order or account where we reasonably suspect fraud, misuse, ineligibility to obtain the record, or violation of these Terms. Where an order is cancelled by us before submission to an agency, any recoverable amounts will be refunded.
We reserve the right to modify these Terms at any time. Continued use of the Service after changes constitutes acceptance of the modified Terms.
This policy applies to all orders placed through US Records ("we," "our," or "us").
All orders are processed immediately to verify eligibility, prepare documentation, and transmit required fees to the relevant government agency. Because these actions incur costs that cannot be recovered, most payments are non-refundable once processing has begun.
Your payment covers:
As government agencies charge for the search of a record rather than its successful issuance, those agency fees are always non-refundable once submitted.
Refunds may be granted only under the following conditions:
Please note that orders typically begin processing within a few hours of placement and may be submitted to an agency the same or next business day, so cancellation requests should be sent as soon as possible.
Approved refunds will be credited to the original payment method, minus any non-recoverable third-party expenses (bank fees, notary costs, shipping labels, or portal surcharges).
The following are strictly non-refundable once incurred:
If an agency reports that no record exists or cannot locate the ordered document,no refund will be issued. Your fee covers the agency's required search effort.
To request cancellation, email support@usrecords.org immediately with your Order ID. Orders not yet submitted to an agency may be canceled for a partial refund under Section 3. Once processing begins, cancellations cannot be guaranteed.
US Records maintains a direct resolution process for all billing concerns. If you believe a charge was made in error, you must first contact support@usrecords.org with your order ID.
In cases of contested transactions, US Records may, at its discretion, offer partial refunds or settlements to resolve disputes prior to any formal chargeback submission.
This process allows faster resolution for you and ensures that any refundable portion is credited directly without delay. Contacting us first is usually the quickest route, since a bank dispute can take several weeks to resolve and may delay any refund we would otherwise issue directly. Nothing in this policy limits your rights as a cardholder.
We maintain full records of order activity, agency submissions, and correspondence to assist in resolving any concerns promptly and fairly.
We may update this policy at any time to reflect regulatory or agency-procedure changes. The current version is always available on this page.
IMPORTANT: US Records is NOT a government agency. We are a private service that assists individuals with ordering vital records from official government agencies.
We do not guarantee:
Processing times and requirements are determined by state and local government agencies, not by US Records. We cannot control or influence government processing speeds, policies, or decisions.
Our service includes two separate fees:
Both fees are clearly disclosed before purchase. You may be able to order records directly from government agencies without using our service, though this typically requires more time and knowledge of specific requirements.
While we strive to provide accurate information about requirements and fees, government policies change frequently. We recommend verifying critical information with the relevant government agency.
Information provided on our website is for general informational purposes only and does not constitute legal advice. For legal questions, please consult a licensed attorney.
Our website contains links to government websites and other third-party sites. We are not responsible for the content, accuracy, or practices of these external sites.
US Records is not affiliated with, endorsed by, or connected to any government agency, including but not limited to state vital records offices, county clerks, or federal agencies.
You are responsible for providing accurate information in your application. You must verify that all information is correct before submission.
We reserve the right to modify, suspend, or discontinue any aspect of our Service at any time without prior notice.
