Privacy Policy

    Last Updated: August 15, 2026

    Introduction

US Records, a trade name (DBA) of PPC Profit Pros ("we," "our," or "us"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services. Our services are intended for residents of the United States.

    Information We Collect

    Personal Information

We collect information that you provide directly to us, including:

    • Name, date of birth, and contact information
    • Government-issued identification documents
    • Information about vital records being ordered
    • Payment information (processed securely through third-party providers)
    • Correspondence and support communications

    Identity Verification and Notarization

Most orders require identity verification. We collect images of government-issued photo identification, and where an online notarization is required, our notarization partner conducts a brief video session. By law, that partner creates and retains an audio-video recording and an electronic journal entry of the session. We receive a completed, notarized document and a record of the session result; we do not receive or store the full video recording.

    Automatic Information

We automatically collect certain information when you use our services:

    • Device information and IP address
    • Browser type and operating system
    • Usage data and analytics
    • Cookies and similar technologies

    How We Use Your Information

    We use your information to:

    • Process your vital records orders with government agencies
    • Verify your identity and eligibility
    • Communicate with you about your orders
    • Process payments and prevent fraud
    • Improve our services and user experience
    • Comply with legal obligations

    Information Sharing and Disclosure

We may share your information with:

    • Government Agencies: To process your vital records orders
    • Service Providers: Payment processors, shipping carriers, and technology providers who assist in our operations
    • Legal Requirements: When required by law, court order, or government regulation

We do not sell your personal information to third parties for marketing purposes.

    Data Security

We implement industry-standard security measures to protect your information, including:

    • 256-bit SSL encryption for all data transmission
    • PCI DSS compliance for payment processing
    • Secure data storage with access controls
    • Regular security audits and updates

    Your Rights and Choices

    You have the right to:

    • Access and review your personal information
    • Request corrections to inaccurate information
    • Request deletion of your information (subject to legal requirements)
    • Opt out of marketing communications
    • Disable cookies through your browser settings

To exercise any of these rights, email privacy@usrecords.org from the address on your order. We may need to verify your identity before acting on a request. An authorized agent may submit a request on your behalf with written permission.

    California Privacy Rights (CCPA/CPRA)

California residents have the right to know what personal information we collect, to request access to or deletion of that information, to request correction of inaccurate information, to limit the use of sensitive personal information, and not to be discriminated against for exercising these rights.

In the past 12 months we have collected the following categories of personal information:

    • Identifiers (name, address, email, phone, date of birth)
    • Government identification documents and related sensitive personal information
    • Commercial information (orders placed and fees paid)
    • Internet activity (device, browser, and site usage data)
    • Family and relationship information required by the issuing agency

We do not sell or share your personal information as those terms are defined under California law, and we do not use sensitive personal information for any purpose other than completing your order and verifying your identity. Requests can be sent to privacy@usrecords.org.

    Data Retention

We retain your information only as long as needed for the purposes in this policy. In general: order and billing records are kept for up to seven years to meet tax, accounting, and dispute-resolution obligations; uploaded photo identification images are deleted within 90 days after your order is fulfilled or cancelled; and support correspondence is kept for up to two years.

    Cookies and Analytics

We use cookies and similar technologies for essential site functions and to measure site performance. We use Google Analytics and advertising conversion tracking to understand how visitors find and use our site. You can disable cookies in your browser settings or opt out of Google Analytics using Google's browser add-on.

For Google Ads conversion measurement, we may share a one-way hashed (SHA-256) version of contact information you already provided — such as email address, phone number, and billing address — so Google can more accurately attribute ads that led to an order. We only share this data when you complete a purchase, and it is not sold or used for any other purpose.

    Email Communications

We send order status updates by email only. We do not send text messages. Transactional emails about an active order are required to deliver the service; any optional marketing email includes an unsubscribe link.

    Data Breach Notification

If we become aware of a security incident affecting your personal information, we will notify you and any required authorities without undue delay and in accordance with applicable law. Security concerns can be reported to security@usrecords.org.

    Children's Privacy

Our services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children.

    Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website with a new "Last Updated" date.

    About US Records

US Records is a private service that assists individuals with ordering vital records from government agencies. We are not a government agency. Official vital records may be obtained directly from the issuing government office for free or at a lower cost. Our fees cover the convenience of online ordering, guided assistance, document review, and document filing, to help ensure your order meets agency requirements.
